The applicant acknowledges that this application along with the Hillbilly Days Vendor Rules and Regulations constitute a binding and valid contract between the applicant and the Southeast Kentucky Chamber of Commerce and the Hillbilly Days Committee if the application is accepted.
This contract is enforceable, and the laws of Kentucky shall control the interpretation of the contract. The venue for any dispute shall be in Pike County, Kentucky.
The applicant agrees and acknowledges that by signing this agreement they are not guaranteed any specific amount of funds from the sale of the items which they are applying for space. They further acknowledge and agree they will indemnify and hold the Southeast Kentucky Chamber of Commerce and the Hillbilly Days Committee harmless from any and all claims made by any third party as a result of their performance pursuant to this agreement.
The applicant acknowledges that no promises or statements made by a Southeast Kentucky Chamber of Commerce or Hillbilly Days Committee representative can modify or alter the terms of this agreement unless the changes are in writing and signed by both the applicant and the Southeast Kentucky Chamber of Commerce and the Hillbilly Days Committee.
The Southeast Kentucky Chamber of Commerce and the Hillbilly Days Committee reserves the right to refuse any and all applications. They also have the right to allow a vendor to set up as well as the right to close the booth of any vendor not following the Hillbilly Days Vendor Rules and Regulations included in this form. Inappropriate and disrespectful behavior, foul language or refusal to follow the requests of Hillbilly Days Staff will not be tolerated. Any vendor in violation will be required to leave immediately. There will be NO refunds.
- Vendor Rules and Regulations
- Trailer & Tent spaces on the street are up to 24’ wide and 8’ deep. You will be allotted space to accommodate your trailer/tent and equipment. Booth space in the parking garage (handmade crafts) is 10’ x 10'. If your vehicle or tent exceeds the allotted size you MUST purchase additional space prior to the event.
- No cash payments accepted for vendor applications. If your check bounces or card is declined a $50 fee will be added to your account, and your acceptance into the Festival will be subject to strict review.
- All tents MUST have a minimum of 40 lbs of weight on each tent leg.
- The Chamber office MUST receive completed and signed applications with a minimum 50% deposit by the stated late fee date or a non-refundable late fee will be assessed.
- Applications will NOT be accepted after the application deadline.
- Unsigned and/or incomplete applications (i.e. missing deposit or information) will not be accepted.
- The Hillbilly Days Committee makes the final determination for the classification of vendor types.
- Vendors who cannot be placed and assigned a booth space will be refunded.
- Vendors who are assigned a booth space will NOT receive a refund for any reason. Notification of assigned spaces will be made no later than the space notification date listed on the application.
- Verification that your organization is a qualified tax-exempt 501(c)(3) entity must be provided. The Hillbilly Days Committee will make the final determination if your application qualifies.
- To receive Handmade Craft pricing, vendors must provide proof that you make the crafts being sold. This classification is determined by the Chamber and the decision is final.
- Handmade Craft pricing requires vendors be placed in the Parking Garage, and no vendor space outside the Garage will receive Homemade Craft pricing.
- To reduce an excess of similar products, the Hillbilly Days Committee may limit the types of items being sold. Your application must include the top five products you sell.
- Every effort will be made to accommodate booth location requests from vendors that have participated in previous years. The Chamber does not guarantee vendors the same location(s) as previously occupied. All decisions on placement are final.
- Payment must be paid in full within ten (10) days of the application close date. If not your space may be issued to another vendor.
- All participants must report to their assigned staging area and check-in to receive information packets before setting up.
- No vendor will be allowed to set up before the assigned time. If a vendor sets up before the assigned time they will be asked to leave the Festival without a refund.
- Obscene and illegal items, professional games, and activities considered objectionable by the Hillbilly Days Committee are prohibited. Absolutely no selling of silly string or stink bombs.
- All politically affiliated organizations will be classified as commercial vendors. No exceptions.
- Vending spaces should be attractive, creative and kept clean.
- The Southeast Kentucky Chamber of Commerce is the only entity authorized to rent vending spaces during Hillbilly Days. Subleasing by vendors is strictly prohibited.
- Booths requiring electricity must provide 150 feet of appropriately sized electric cords for the amperage load of the booth. Cords may be any combination to total 150 feet for 120-volt and 240-volt needs.
- Booths must be National Electrical Code compliant. Unsafe booths will not be hooked up.
- All cords must match booth amperage loads to prevent hazards.
- If you need multi-receptacle hook ups, you must have them built before you arrive at the Festival.
- No more than two 120-volt outlets per booth. All 120-volt cords must be 12-3-gauge, outdoor rated extension cords with a ground (3 prongs).
- The local Electrical Inspector has jurisdiction on booth electrical and the Chamber of Commerce is not liable for booths not being 2008 Electrical Code compliant.
- For your own safety and that of others, no one is to remove covers from breaker or electrical boxes.
- If you are asked to leave the Festival due to faulty electrical equipment your money will not be refunded.
If you have questions regarding your electrical needs, contact the Chamber at 606.432.5504 and the Electrician will return your call.
Message from the Electrician
During Hillbilly Days 2008, approximately 300 electrical cord violations were written up by the Kentucky State Electrical Inspector. The cords used for your booths need to be in good condition and be of proper size. If the inspector views your cord unacceptable, they will disconnect you and you will not be hooked back up until repairs are made and re-inspected. The Southeast Kentucky Chamber nor the Electrician will be liable if your power is disconnected or if you are charged a fine for faulty cords by the State Electrical Inspector. This is the vendor’s responsibility. Please have cords in good repair and ready before you come to the Festival to prevent delays.
- Booths requiring water must provide 150 feet of hose.
- No FIREARMS, except as display pieces. No discharging of firearms.
- All DOGS must be leashed within Pikeville City limits.

- No GOLF CARTS permitted without a permit issued by Pikeville Police Department.
- STATE AND LOCAL LAWS – The purpose of Hillbilly Days is to support the Shriner's Hospitals for Children, have a good time, entertain friends and welcome visitors. Common sense, good judgment, safety, law enforcement, and basic rights of others will be maintained. Failure to follow the law will be met with appropriate action by law enforcement agencies and could result in denial of participation in future Hillbilly Days Festivals.
All vendors are required to follow both the Vendor and Festival Rules while at Hillbilly Days. Violation of these rules will result in expulsion from the Festival with no refund.
